Teesside University Students’ Union is offering a fantastic opportunity within its Facilities & Events department for an individual experienced in working in events, to join the team. You will be working alongside the Facilities & Events Manager with a high level of responsibility.


TUSU is consistently in the top 10% of students’ unions in the UK due to the high quality of activities and services we provide for our students.   It has two modern, multi-award winning and superbly equipped venues The Terrace (1st floor) and The Hub (2nd floor). Between them they've won 13 Best Bar None Awards in the last seven years and are widely regarded as two of the best social spaces in Teesside.


There is a full student entertainment programme each week plus a diverse range of external events including presentation evenings, conferences, birthday parties and full day and evening only wedding receptions. During the summer there can be several external events each week with wedding receptions every Saturday. 


Day to day duties revolve around the organising and technical management of a variety of events including the managing of facilities, therefore experience is essential. You will be responsible for the line management of a number of student staff, largely acting as deputy to the Facilities & Events Manager, meaning management experience would also be desirable.

Job Title:                     Event and Technical Services Coordinator

Main Purpose of Post:


To assist the Facilities & Events Manager with the provision and development of all events and entertainment at Teesside University Students’ Union (TUSU) and to deputise for the Facilities & Events Manager when required. To be responsible for all elements of event delivery at TUSU with a strong focus on the technical service provision. To ensure that all rooms and venues are maintained to the highest standards at all times.


Duties and Responsibilities:



  • To act as line manager for any student staff employed in the provision of Events and Entertainment. To recruit, train, direct, develop and discipline staff in accordance with current terms and conditions.
  • To deputise as line manager to student staff within the Facilities function. Including assisting with recruitment, training, development, coaching, directing, monitoring hours and any other required actions in accordance with TUSU policy.
  • To ensure high standards in customer service and care are delivered by the Facilities and Events Team through coaching, training and by example.
  • To undertake and provide training for relevant staff members and volunteers involved in Students’ Union Entertainments.
  • To prepare all documentation required for the hours of work of student staff employed as part of the entertainments function within agreed time scales.
  • To take appropriate action to ensure the safety of employees, performers and customers.



  • To ensure that all technical equipment (in-house and hired) is properly maintained and adheres to current health & safety legislation and to ensure that events are carried out in accordance with the TUSU Health & Safety Policy.
  • To recommend equipment for use at TUSU and maintain the current inventory and technical specifications for all venues as appropriate.
  • To provide the Facilities and Events Manager, Licensed Trade Team and any other departmental Managers and/or Coordinator with technical advice and support.
  • To provide technical advice and support to external clients. 
  • To ensure that externally promoted events are carried out in accordance with the Students’ Union’s health and safety requirements and recognised safe practice for the provision of live entertainments.
  • To be responsible for the technical set up of events.



  • To support the Facilities & Events Manager in all financial areas including purchasing of necessary items.
  • To work within agreed Students’ Union's Events related budgets.
  • Work with the Facilities and Events Manager to prepare yearly budgets for the provision of Facilities and Events Department.
  • To work closely with the Facilities and Events Manager to ensure strict financial control and accountability.
  • To organise, maintain and file relevant documents and papers in a systematic manner.
  • To work closely with finance and administration staff to ensure the efficient administration of entertainment finances and records.
  • To assist the Facilities and Events Manager in the purchasing of materials required and engagement of acts, performers and artistes in a cost effective manner and with due regard to the requirement for appropriate insurance.



  • To support the Facilities and Events Manager in the provision of a varied and financially viable entertainments and events programme.
  • To prepare event operational plans with the Facilities and Events Manager
  • To ensure that all external bookings are planned in accordance with current procedures and that layout plans are developed for each event based upon the booking information given.
  • To assist with the implementation of entertainment promotion plans as required.
  • To upload advertising materials onto plasma and any other electronic media as required.
  • To ensure the events, entertainments and venues are promoted effectively online across the Students’ Union website and social media.
  • To work closely with the Facilities and Events Manager, Licensed Trade Managers and Marketing Team in order to ensure that the total service provision is coordinated to maximum effect.
  • To ensure that all areas of TUSU are kept secure and to organise venue staff whilst on duty.
    To liaise with University Security over requirements for events, e.g. parking, loading, unloading etc.
  • To attend meetings, conferences and training events as required.
  • To deputise for the Facilities and Events Manager as necessary.
  • To abide by the Students’ Union constitution, policies and procedures at all times.
  • To undertake any reasonable duties as may be requested from time to time commensurate with the level of the post.

Technical experience within an entertainment venue



Experience of overseeing technical and production requirements for club nights, live music and other entertainment



Experience of stage management



Experience of working within a live music event and or club venue



Experience of providing technical support to a wide range of events and activities



Experience of technical set up for entertainment events including conferences, award evenings and wedding receptions



A good understanding of Health & Safety issues associated with running large events and venues



In-depth knowledge of sound, lighting and audio visual equipment



Experience of ShowCad









Ability to effectively communicate at all levels with staff, students and external clients



Excellent working knowledge of Microsoft Office



Ability to work off own initiative



Excellent organisational skills 



Able to work effectively in a team



Experience of managing staff



Ability to lead and motivate staff and volunteers
